FREQUENTLY ASKED QUESTIONS

During your first year, we ask customers to purchase a minimum of 10 mobile licences, even if fewer are needed initially. This is because the first year typically involves more support from our team as we help you implement AppCan, configure your processes and get your users up and running.

When you renew, you can purchase the number of mobile licences you need, even if that is fewer than 10.

Yes. Mobile licences can be reassigned between user accounts during your subscription period. Shared team accounts can also be used where this is practical.

For example, a Team Leader’s account may be shared with members of their gang or team, avoiding the need for every team member to have an individual licence. However, AppCan accounts are not designed to be shared across large numbers of users. Sharing one account between 10–15 people, for example, may create practical problems with synchronisation, data visibility and user accountability.

No. We only charge for mobile licences assigned to users who need access to the AppCan mobile app.

Whether you have one portal-only user or more than 100, there is no additional licence charge.

Yes. Mobile licences can be assigned to subcontractors and other supply-chain partners. Any information they submit will be stored securely within your AppCan portal, giving you a central view of all the data they capture.

If required, you can also give suppliers restricted portal access so they can view the records they have submitted.

Yes. The pricing tiers above include subscription discounts for up to 250 mobile licences.

Subscriptions are paid annually in advance, at the beginning of each 12-month subscription period.

No. Each subscription runs for 12 months from the date of purchase, with no contractual commitment beyond the current subscription period.

Yes. The Initial Setup Fee covers Super User training and implementation support to help you configure AppCan and get your team up and running.

The amount of training and support included depends on your chosen package. Please see the pricing above for details.

Absolutely. As part of your initial Super User training, we will show you how to create and manage your own forms.

We also understand that some customers want to get up and running quickly with an initial suite of forms. If you would prefer us to build these for you, send us blank examples of the forms you require. We will then estimate the time needed to build and test the forms and associated reports. This work is charged at our current daily rate.

Only if you choose one of the additional options listed above. Not every customer needs these services, so we keep them separate rather than adding their cost to every core subscription.

Optional services are charged annually in advance and can be activated quickly when required. There is no contractual commitment beyond the current 12-month subscription period.

No. All customers receive access to new core platform features as they are released.

Occasionally, a new feature may be offered as an optional service because it creates additional storage, processing or third-party usage costs. If so, we will clearly explain the service and its price on this page, so you will always know what is included in your subscription.

Ongoing help and guidance are included with your subscription. This includes access to our online help resources, support tickets and collaborative online calls.

During these calls, we can share screens to troubleshoot issues or provide practical guidance on creating effective forms and reports using AppCan’s core features.

Your mobile licences will expire at the end of the current subscription period. You will retain access to your record data for two years after your subscription ends.

If you would prefer us to delete your data permanently when you stop using AppCan, let us know and we will securely remove it from our databases and file storage.

We retain your record data and related media, including photographs and signatures, for two years.

If you need to retain data for longer, you can use our paid Cold Storage archiving service. Cold Storage has no storage or time limit, allowing archived records to be retained for as long as you need. Please see the additional options above for pricing.
